Basically PLUG already had an AV project which was comprised of a similar software/hardware stack used by LCA at the time (dvswitch + dv cameras/capture devices). In addition Leon and I helped out with LCA 2013 so were very familiar with the setup. Our goal was to build tools to run everything as automated and robust as possible. Much of the work was done by Leon and myself, although we had help from Luke John, and Euan de Kock, along with many of the PLUG membership during our regular recorded talks and numerous workshops.

During the event we had:

core AV team: myself (local), Leon Wright (local), and Matt Franklin (QLD?)

live streaming: Tim Ansell (Sydney)

rooms: general volunteer crew to manage camera(s) and audio/video mixing (headed up by Euan)

The core team had very little time to enjoy the conference but AFAIK we all had full access to all events - or at least we just went along to everything :)

I was not involved with the tickets/accommodation/travel side so perhaps Luke/Paul/Euan could provide some insight as to what we offered Tim, Matt, and the general volunteers?

On Mon, Jan 7, 2019 at 12:57 PM Paul Del <p@delfante.it> wrote:

Hey Nick Leon Euan Jason Luke,

Can any of you provide any information on the below for the Steve and the lca2019 team?

Thanks Paul

On Fri, Jan 4, 2019 at 1:20 PM Steven Sykes <chair@lca2019.org> wrote:

Hey spooky people! (I mean LCA Ghosts)

With organising AV, Ryan has given me a thorough proposal
document for doing AV. You're probably familiar with it.

In it Ryan lists a core team of 6 people, 4 from Australia, 2
from the USA and says that "some would like travel/accommodation
covered". How many people have previous LCAs found themselves
having to cover? For us, everything is obviously an international
flight.

There's the request that conference registration costs are
waived, which is an obvious and fair request. What ticket level
were they budgeted at? Hobbyist?

For next year, Ryan points out that the Hackfest which has
normally taken place the week before an LCA is optional. If we do
it then it feeds into benefiting future LCAs but would not harm
the level of AV for 2019.

Any other points around AV that you can think of that might be
worthwhile raising would be great.

Cheers,
